EPOS cost guide

How much does an EPOS system cost in Northern Ireland?

The honest answer: it depends on what your business needs. Here’s what goes into the price, so you can compare quotes like for like.

In short: every EPOS quote is built from six parts: hardware, software, support, set-up and training, card payments and the contract. A single café till and a multi-site bar group are very different jobs, so compare the whole picture, not the weekly headline price. Some options cost very little: Yes!Sensei is free while sales are under £5,000 a month, and event till hire is £50 a till per week or per event.

What you’re paying for.

Once you know the six parts, you can see exactly what one supplier includes and another leaves out.

Hardware

The till, receipt printer and cash drawer, plus any kitchen printers or screens, scanners and handhelds. Most suppliers let you buy outright or spread the cost.

Software

Usually a monthly fee per till for the till software and cloud back office. Extras like loyalty or online ordering are added only if you need them.

Support

When a till goes down on a Saturday night, support is what you’re paying for. Check the hours and whether the team is local. Ours is Belfast-based and 24/7.

Set-up and training

Menus, prices, staff logins and reports all have to be built before you open. Ask whether programming and training are included or charged separately.

Card payments

Card machines linked to the till speed up service. Compare terminal rental and transaction rates together, not one or the other.

Contract

Check the minimum term, notice period and yearly price rises. A low headline price with a long tie-in can cost more over time.

Comparing quotes.

Put each quote side by side and check these six things. A cheap weekly price rarely includes all of them.

EPOS cost questions.

What owners ask us about price.

How much does an EPOS system cost?

It depends on how many tills, handhelds and screens you need, the software, support and contract. We’ll give you a clear quote with everything included.

Is there a free EPOS system?

Yes!Sensei is free while your sales are under £5,000 a month, which suits food trucks and event traders.

Can I hire a till for an event?

Yes. We hire Sharp XE-A217B cash registers at £50 each per week or per event.

Should I buy or spread the cost?

Both work. Spreading the cost keeps cash in the business; buying outright can cost less over time. We’ll show you both.

What should support include?

Check the hours covered and whether the team is local. Ours is Belfast-based and available 24/7 by phone, live chat or email.
